Group Hotel and Meeting Registration

Welcome to the American Epilepsy Society’s (AES) Group Housing & Meeting Registration for the 2008 Annual Meeting. AES is pleased to be using Experient as its official Housing provider for the 2008 Annual Meeting.

“Group Housing” - Defined as 10 or more hotel sleeping rooms requested through completion of the Group Room Request section (see below) and secured with corresponding deposit payments.

“Group Meeting Registration” – Defined as 10 or more paid registrations using the same credit card or check that DO NOT register and pick up badges individually.   

Note: All registrations must be submitted collectively to be eligible. All participants will receive the group registration rate of $510 per person, plus one complimentary registration for the group tour leader.

 

  1. GROUP HOTEL RESERVATIONS - Select the link to complete your Group Hotel Reservation. Submit the form to Experient Housing at AES2008@experient-inc.com


  2. COORDINATOR CONTACT INFORMATION - Complete the form online to submit your group information. On submission you will receive the financial data required to submit payment.


  3. PARTICIPANT INFORMATION - Select the link to complete your participants names and mailing address.

    NOTE: Registrations will not be processed without the participants mailing address, contact information and email address. We are unable to register the participants using the group coordinator's address.

  4. REGISTRATION – Select the link to open the AES Annual Meeting Registration Form. Complete one for each participant.

  5. Submit Documentations - Send participant information and all registration forms to groupreg@aesnet.org

REGISTRATION CONSIDERATIONS:
All groups must be registered by Friday, October 3, 2008.  Additions to the group will not be accepted after that date.

Wire transfers will be subjected to a $50 administrative fee.

CHANGES, TRANSFERS OR CANCELLATIONS:
All changes, transfers or cancellations must be received in ONE batch by Friday, October 17, 2008. All other changes or transfers will be made onsite and will be subject to a $50 charge for each changed record. Cancellations will not be accepted at the registration desk in Seattle.

 

ATTENTION: An administrative fee of $500 will be charged if your organization requires only Group Meeting Registration and does secure housing with Experient, the official AES housing Bureau.
